Hourly billing only works when the client can follow the arithmetic. This template renames the columns to Hours and Hourly rate and starts with two example lines, so the total is easy to check.

How to fill it in

  1. Add one line per block of work, not one line for the whole month.
  2. Put the number of hours in the Hours column and your rate in the Hourly rate column.
  3. Write what was done in the description, for example “Bug fixes, checkout page”.
  4. Add tax only if you are registered. Use the Tax and discount section.

Keep hourly invoices easy to approve

  • Invoice at a regular rhythm, weekly or monthly, so each invoice is small and familiar.
  • State your rounding rule in the notes and keep to it.
  • If you gave an estimate, mention the hours remaining against it so there are no surprises.
  • Separate travel, software costs and other expenses from your time.

Hourly or fixed price?

Hourly suits open-ended work. If the scope is clear, a fixed price invoice is easier for the client to budget for.

Frequently asked questions

How should I show hours on an invoice?

Put hours in the quantity column and your hourly rate next to it, so the client can multiply it themselves. Use a short description of the work for each line.

Should I round the hours?

Pick a rule, such as the nearest quarter hour, and say it on the invoice. Be consistent so clients are never surprised.

Can I charge different rates for different work?

Yes. Add a line per type of work, each with its own rate, for example design at one rate and meetings at another.
