With a fixed price the client already agreed the number, so the invoice has one job: show that the price matches the agreement and list anything extra separately.
Structure that avoids disputes
- One line for the agreed fee, named after the scope, for example “Website design, agreed scope”.
- Separate lines for approved extras, each marked as extra and priced before the work started.
- A note that points to the quote or the date it was accepted.
What not to do
- Do not fold extras into the main fee. The client will not recognise the total.
- Do not change the description of the fixed fee between invoices.
- Do not leave the due date open. Fixed price clients often pay on schedule when a date is clear.
Splitting a fixed price
Big projects are usually paid in parts. Ask for a deposit first, then invoice by milestone or on delivery.
Frequently asked questions
What should a fixed price invoice reference?
The agreed scope or the quote it came from, so the client sees that the price matches what they accepted.
How do I invoice extra work on a fixed price job?
Add it as a separate line marked as an approved extra, with the price agreed before the work started.
Can I invoice a fixed price in parts?
Yes. Use the deposit or milestone template to split the fee into payments.
