What a receipt should include
- A receipt number and the date of payment.
- The seller's name and contact details, and the buyer's name if known.
- What was bought, with quantity and price.
- The amount paid, any tax, and the payment method.
- A PAID mark or note so it is clear nothing is owed.
When to give a receipt
Give one whenever money changes hands and the customer might need proof: cash sales, deposits, rent, tutoring fees, repairs, or a payment received against an earlier invoice. Keep a copy for your own records.
Receipt, invoice or payment voucher?
A receipt is written by the person who got the money. An invoice asks for money not yet paid. A payment voucher is written by the person who paid it out, for their own books. Same payment, three different documents and three different authors.
Mistakes with receipts
- Issuing a receipt before the money has cleared.
- Not saying what the payment was for.
- Reusing a receipt number.
- Forgetting the payment method, which matters most for cash.
How it works
- Enter who received the payment and who paid.
- List what was paid for with quantity and price.
- Choose the payment method and add tax if it applies.
- Click Download PDF.
Frequently asked questions
What is the difference between a receipt and an invoice?
An invoice asks for payment and is sent before it. A receipt confirms a payment that has already been made.
Is a receipt I make myself valid?
It is a record you issue as proof of payment, and many small businesses use exactly that. Some countries require registered or fiscal receipts, or e-invoicing, for certain businesses. If that applies to you, use the system your tax authority requires.
Can I turn an invoice into a receipt?
Yes. Open the invoice generator, tick "Show a \"PAID\" stamp" and download it. A separate receipt is usually cleaner when the customer paid on the spot.
Does the receipt include tax?
It can. Add a tax rate on the total or a different rate per line, and the receipt shows the tax amount separately.
