What an estimate should include

  • An estimate number, the date and how long it stays valid.
  • A breakdown of labour, materials and any fixed costs.
  • The assumptions the numbers rely on.
  • What could change the price, and how changes will be agreed.
  • Your details, the client's details and your contact information.

Estimate or quote: when a range is the honest answer

Use an estimate when the real size of the job shows only once work starts, such as a repair behind a wall. Say what the figure is based on and what could change it. Once you know more, send a quote.

Mistakes in estimates

  • Presenting a guess as a fixed price.
  • Not saying what would change the number.
  • No expiry date.
  • Never following up with a firm quote.

How it works

  1. Enter your details and the client's details.
  2. List the expected work or materials with approximate quantities and prices.
  3. Say what could change the final price in the notes.
  4. Click Download PDF.

Frequently asked questions

What is an estimate?

An approximate cost for work whose final scope or materials are not yet certain. The final invoice can differ from it.

How is an estimate different from a quote?

A quote is a fixed price offer. An estimate is a good-faith approximation, so say clearly what could change it.

Should I add a range?

If the uncertainty is large, say so in the notes, for example "final price may vary by 10 to 15% depending on materials". Make sure the number you put in the lines is your honest best figure.

Can I convert an estimate to an invoice?

Yes. Click "Convert to Invoice" on the preview and your items, totals, and client details are transferred instantly.
