Contractors often bill in stages while a job is still running. This template is set up for a progress invoice: labour, materials and extras on separate lines, with room to note what part of the job it covers.

What to include on a contractor invoice

  • The job or site reference and the period the invoice covers.
  • Labour by day or hour, with your rate.
  • Materials at cost or with a stated mark-up.
  • Variations or extra work as separate lines, tied to what the client approved.
  • Payment terms and the amount of any earlier payments already received.

Tips for a contractor

  • Write down every change the client asks for and invoice it as its own line. It keeps the original price clean.
  • On long jobs, agree stage payments up front so cash flow does not depend on the final invoice.

Wording you can copy

  • Labour, 2 workers x 8 hours, kitchen demolition
  • Materials supplied: plasterboard, 12 sheets
  • Progress payment 2 of 3: first fix complete

Mistakes to avoid

  • Hiding materials inside labour. Itemise them so cost changes are easy to explain.
  • Not tying the invoice to the quote or job address.
  • Leaving variations out. Add each agreed change as its own line.

Pick the right billing style

For staged jobs use the milestone invoice template, and ask for a deposit before materials are bought.

Frequently asked questions

What is a progress invoice?

An invoice for part of a job, issued at an agreed stage. The final invoice then covers what remains.

Should I mark up materials?

It is common, but be open about it. Either list materials at cost and charge a handling fee, or agree the mark-up in the quote.

How do I invoice a variation?

Add a clearly labelled line describing the extra work and its price, and refer to the date the client agreed to it.
