A deposit invoice asks for part of the price before work begins. It protects your time, covers early costs and makes the client’s commitment concrete. This template starts with a single deposit line and a note about the balance.

What to put on it

  • The word deposit in the line description, plus the percentage and the project total.
  • What the deposit secures, for example start date or reserved time.
  • When and how the balance will be invoiced.
  • A clear due date. Deposits should be paid before work starts.

Handling the final invoice

When you finish, invoice the full price and show the deposit as already paid, or invoice only the remaining balance and refer to the deposit invoice number. Pick one approach and use it every time.

For several payments over a project, use the milestone invoice template. For ongoing monthly work, a retainer invoice is a better fit.

Frequently asked questions

How much deposit should I ask for?

Many freelancers and small businesses ask for between 25% and 50%, depending on costs and risk. Agree it in writing before you start.

Is a deposit invoice the same as a final invoice?

No. It requests part of the price upfront. The final invoice should show the full price and the deposit already paid, or only the balance.

What should the deposit invoice say about the balance?

State the project total, the deposit amount and when the balance will be invoiced, so nothing is unclear later.
